Position Summary

The Program and Operations Coordinator provides essential support across programs, operations, and administration. This role ensures seamless coordination of organizational priorities and day-to-day operations while also contributing to policy development and external communications. The ideal candidate has strong organizational skills, excellent judgment, and experience working in high-level political or executive environments.


This position is currently grant-funded through the end of 2026.


Program & Operations Support

  • Provide scheduling, communications, and operational support to advance organizational priorities.
  • Assist with the planning, coordination, and execution of program activities, convenings, and events.
  • Develop and maintain program workplans; track progress against timelines and deliverables.
  • Maintain accurate project documentation, records, and internal databases to support accountability and continuity.
  • Serve as a liaison among staff, contractors, and external partners to ensure smooth coordination and information flow.


Administrative & Executive Support

  • Coordinate meetings, prepare agendas, capture notes, and manage virtual meeting platforms.
  • Lead end-to-end meeting logistics for convenings and events, including RFP development, venue selection, room block negotiations, vendor coordination, and on-site or virtual meeting management.
  • Draft, edit, and format reports, policy briefs, correspondence, and presentations for partners, funders, and collaborators.
  • Support senior leadership with time-sensitive tasks requiring discretion, sound judgment, and attention to detail.
  • Manage office operations and administrative systems to ensure efficiency and reliability.


Research & Special Projects

  • Conduct background research to support policy initiatives, program development, and organizational planning.
  • Support special projects that may involve cross-sector coordination, rapid response, or complex stakeholder engagement.
  • Contribute to the continuous improvement of internal systems, processes, and workflows.



Qualifications

  • 2–3 years of experience in program coordination, operations, or administrative management.
  • Demonstrated experience supporting senior leadership, executives, or high-level decision-makers.
  • Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines.
  • Experience with meeting and event management, including logistics, speaker/guest management, vendor coordination, and partner relationship management.
  • Excellent written and verbal communication skills, including drafting professional correspondence and reports.
  • High level of discretion and experience handling confidential or sensitive information.
  • Strong interpersonal skills and ability to work collaboratively across diverse teams and partners.
  • Self-starter with flexibility to work independently as well as part of a team.
  • Proficiency with Microsoft Office and Google Workspace.


Preferred Qualifications

  • Experience in politics, advocacy, or policy environments.
  • Writing policy, ideally for bipartisan audiences. 
  • Experience in the hard sciences, ideally. 
  • Familiarity with project management systems like Asana, Trello, etc.
  • Experience with Constituent/Customer Relationship Management (CRM) systems.


Additional Details

  • Remote work with required residency in the DMV region.
  • Occasional in-person meetings may be required.


Compensation and benefits 

This position is non-exempt. It will pay $50,000 per year, with the expectation of working 40 hours per week. Compensation will be commensurate with experience and qualifications. At this time, no additional benefits are provided.
