News Assistant, Quanta Magazine

POSITION SUMMARY
Quanta Magazine is seeking a motivated News/Administrative Assistant with some web production skills and a strong interest in science communication.

This person will have previous administrative experience, a variety of technical skills and will be ready to learn. The news assistant will be trained on the magazine's WordPress content management system, production workflow and administrative tasks appropriate to the role and will be expected to work closely and collaboratively with the magazine's staff and with other administrative team members at the Simons Foundation. The assistant will be vital in creating a welcoming, supportive and productive atmosphere for the newsroom.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES
• Assist in coordinating editorial tasks and freelance fact-checking and copy-editing schedules.
• Serve as the first point of contact for in-person staff, visitors and guests.
• Screen telephone calls, inquiries and requests, and manage or refer as appropriate.
• Assist with scheduling internal and external meetings and conference calls.
• Manage incoming invoices from freelancers and maintain approval matrix processes.
• Manage quanta@simonsfoundation.org email inbox.
• Assist web producer in preparing article packages for publication, including formatting, posting and updating articles, images and other digital content on QuantaMagazine.org.
• Assist web producer and art director in researching, editing and securing rights to photos, illustrations, video and other visual content.
• Work with developers to create, maintain and improve website features, when needed.
• Assist with the annual board meeting, including polling for availability, collecting meeting materials, coordinating internal calendars and providing A/V support.
• Coordinate travel for Quanta Magazine staff and work with Events Team to plan annual board meeting and other events.
• Handle routine correspondence and prepare expense reports via Concur for the editor in chief and designated senior staff.
• Manage and maintain various calendars, including the editor in chief's appointments.
• Perform any other duties or tasks as assigned or required.

MINIMUM QUALIFICATIONS
Education
• Bachelor's degree preferred

Experience
• Experience with high-level administrative support and web production.
• Experience coordinating travel, handling complex calendars for high-level personnel, and scheduling and planning meetings and events.
• Previous work in a newsroom or scientific setting is a plus.

Related Skills & Other Requirements
• Consistent accuracy, careful attention to detail and the ability to proactively anticipate needs and to organize several assignments and activities simultaneously.
• Excellent interpersonal, verbal and written communication skills and ability to work collaboratively.
• Good judgment, resourcefulness and discretion.
• Familiarity with WordPress, HTML, Google Sheets, Microsoft Excel and Microsoft Word in Mac OS X environment, as well as comfort with learning new task-related software packages.
• Willingness to take responsibility and the capacity to function well with minimal oversight.
• Ability to interact with a diverse population and a can-do spirit to help create a team culture.

COMPENSATION AND BENEFITS
• The full-time annual compensation range for this position is $57,000 - $65,000, depending on experience.
