Position Summary
The position is responsible for supporting the Advocacy Communications department, including conducting research, writing, PDF design, maintaining electronic and paper-based files, scheduling appointments, responding to inquiries, proofreading and providing editorial assistance, and preparing documents. The position reports directly to the Senior Director, Advocacy Communications.
Major Duties and Responsibilities
- Coordinates and schedules office appointments, meetings and conferences as well as maintains appointment calendars.
- Acquires working knowledge of American Chemistry Council’s (ACC) advocacy priorities.
- Composes and drafts various correspondences (e.g., letters, memoranda and reports) for review and signature using a variety of computer applications.
- Assists with electronic communications, newsletter layout and copy, and member communications initiatives, as needed.
- Helps design one-pagers, infographics and other collateral.
- Assists with drafting social media posts.
- Maintains media database and other tools to enhance media relations.
- Updates and maintains department records and reports as well as ensures the security of confidential records and reports.
- Establishes and maintains department filing system.
- Manages internal and external meeting logistics, including agenda and briefing material preparation, location, etc.
- Ensures compliance with ACC standard operating procedures.
- Performs other related duties as assigned.
Qualifications/Requirements
- Associates degree or equivalent years of experience.
- Three years relevant work experience.
- In-depth knowledge of general office protocols, practices and procedures.
- Knowledge of Microsoft Office (e.g., word, excel, power point) and internet research skills.
- Strong written and verbal communications skills, including grammar, spelling and punctuation.
- Working knowledge of Adobe Indesign and/or Illustrator
- Ability to work independently and manage multiple projects.
- Ability to prioritize issues, projects, tasks and information.
- Experience with document tracking, filing, and record keeping.
