Description:
The Associated Press is seeks an Executive Assistant - News for its New York City headquarters.

This position provides administrative support to senior executives in News. The Executive Assistant will take ownership of projects and provide daily support in a variety of areas, including travel arrangements, scheduling meetings and managing calendars, work-related social events and effective communication inside and outside the company.

The successful candidate provides primary support to four executives and other duties and support as required.

SPECIFIC RESPONSIBILITIES:

*Coordinate and ensure effective communication between the News department, other AP units and outside companies. *Manage calendars *Organize and coordinate meetings *Make travel and accommodation arrangements, including complex international travel requiring Visa and currency preparation *Prepare expense reports and check requests *Create monthly reports, spreadsheets, electronic mailings and other presentations as required *Handle confidential information relating to personnel and department operation. *Manage correspondence and filing, incoming and outgoing mail and order and maintain supplies. *Answer telephones and direct callers as appropriate. *General administrative duties for the department executives.

QUALIFICATIONS:

The ideal candidate must be detail-oriented, adept at problem-solving and possess strong organizational skills. This person must be a self-starter and able to work with minimal supervision to initiate and complete tasks. Excellent oral, written and interpersonal skills are required as well as the ability to thrive in a time-pressured environment and meet all deadlines.

SPECIFIC REQUIREMENTS:

*Strong computer skills including Microsoft Word, Excel and PowerPoint. Familiarity with Outlook and Internet search engines is also required *Proven ability to multi-task successfully and prioritize work *Demonstrated ability to see and address problems and work well without detailed supervision *Demonstrated excellent time management skills. *Must be able to interact professionally and constructively with staff of all levels, vendors, members and other visitors and project a professional image and demeanor at all times. *Must be comfortable maintaining the confidentiality of sensitive information which may pertain to fellow staffers or the business. *5+ years of experience as an Executive Assistance or similar position is required, College degree preferred.

Candidates must be able to demonstrate a high level of fluency in written and spoken English. Authorization to work in the United States is mandatory.
